User Manager

The User Manager is where all users in the system are managed. This includes Administrator, Supervisor and ESS users.

The User Manager is used to create user accounts, activate or deactivate user accounts, modify or reset passwords, force a password change, change the users security role, department visibility, email and cell phone number settings.

The User Manager can be accessed by Admin users by going to the Admin Menu, Express Implementation Portal, and selecting the User Manager tab.

By default, the Users list in the User Manager screen does not show inactive users. To show them, simply select the Include Inactive Users checkbox. Inactive user accounts will show in red.

By default, the Users list will show all users, but can be filtered to show only Admin, Supervisor, Admin and Supervisor, or ESS users.

Once a user is selected in the Users list, the settings can be adjusted in the window to the right.

To create a new user, click on the New button at the bottom of the Users list. Users must be created from scratch, they cannot be copied or duplicated. Once a new user is created, the username cannot be modified – all other settings can be modified.

Only Admin and Supervisor users can be created in the User Manager. ESS users are created automatically by the system when the employee is created.

If the message “Your system currently has the maximum number of users. Contact Synerion for information about increasing the maximum level.” is displayed, you have no free user licenses to create new users. If possible, deactivate an unused user account, or contact Synerion in order to add additional licenses.

Admin and Supervisor users

When creating a new Admin or Supervisor user, enter the desired username. The username will not be able to be modified once the user is created.

The password can be set by entering the desired password, and confirming the password in the next field. By default, the system requires passwords to contain at least 1 uppercase, 1 lowercase and one numeric character, and the password must be at least 8 characters long. If assigning a temporary password for the user, check the Force Password Change checkbox – this will force the user to change their password the first time they login with the password created in the Password field.

Choose the security role of the user – Admin or Supervisor:


  • Administrator users have the most possible access to the system. They can see all employees in the system, and have access to additional pages such as the Admin Page (Payroll Export, Holiday Calendars, Mass Edits, Express Implementation Portal, all configuration pages)

  • Supervisor users will have a Department Visibility window appear under the User window. Any department containing employees the Supervisor should see must be selected.

Set the language of the user, and enter their email address (required – for notifications), and/or their cell phone number (optional – for notifications).

Admin and Supervisor users can be activated or deactivated by using the Active checkbox. If the box is checked, the user is active, they are inactive if the box is unchecked.

ESS Users

ESS Users (Employee Self-service) users are created automatically when the employee account is created.

Like Admin/Supervisor accounts, once the user is created, the username cannot be changed.

The ESS user password can be be set by entering the desired password, and confirming the password in the next field. By default, the system requires passwords to contain at least 1 uppercase, 1 lowercase and one numeric character, and the password must be at least 8 characters long. If assigning a temporary password for the user, check the Force Password Change checkbox – this will force the user to change their password the first time they login with the password created in the Password field.

The security role for ESS users can be changed. For example, there may be a group of employees who punch, and a group who fill out timesheets. Choose the appropriate security role for the ESS user.

ESS users can be activated or deactivated by using the Active checkbox. If the box is checked, the user is active, they are inactive if the box is unchecked.
